What is a Virtual Office Administrator?

Our team of virtual receptionists work from our headquarters in Fort Worth, Texas. Our technology enables us to be a virtual extension of our clients' teams and make a direct impact on their business each and every day. If you're a speedy typer & can multi-task like a rock star, then read on.

As a VirtualReceptionist with Annie Admin, you will take our client's relationships further with their clients by providing spectacularfirst impressions over the phone. If you have a true can do attitude and believe that anything is possible with the right amount of effort than this role is for you.

Top 5 Accountabilities

  1. Adhere to Annie Admin's rock star performance expectations, accurately completing each interaction with our clients and their customer base while limiting personal bias and always communicating in professional Annie tone.
  2. Maintain accuracy, mindfulness, and a strong attention to detail in written communication. Cross "T's" and dot "I's," use proper spelling, grammar, and logical message composition. Communicate professionally and with personality.
  3. Multi-task in a fast paced technology rich environment. Toggle between screens & use multiple applications simultaneously, while delivering exemplary caller experiences.
  4. Precisely and consistently follow call handling instructions on every call. Provide detailed & accurate notes from callers, and take ownership of mistakes when they happen.
  5. Take a proactive approach when it comes to getting the job done! Be quick to find solutions to overcome any challenges our clients may face.

Your Experience / Lifestyle

  • Minimum 2 years customer service experience (Administrative Assistant experience is a huge PLUS)
  • Must have a desktop computer with full video/sound functionality, wired noise cancelling headset, ability to be plugged into your ethernet port and high speed internet.
  • Must have a dedicated and quiet office space (no background noise from other humans or animals)
  • Type minimum 40 WPM
  • Ability to work from your home office Monday - Friday and some Saturday's
  • Ability to work from our Fort Worth office as needed based on business needs or for additional feedback and coaching
  • Strong written and verbal communication skills, including proper grammar & spelling. Ability to clearly communicate with diverse audiences via phone, e-mail, and text.
  • Professional demeanor and respect for community members, contributing to a diverse and vibrant workplace.
  • Natural ability to thrive when multi-tasking in a technology rich environment operating at an extremely fast pace. Experience working with a high-volume of requests or incoming calls is preferred.
  • Record of reliable attendance and the ability to maintain a predictable and consistent full-time schedule.
  • Natural ability to work independently as well with a team. Experience managing or mentoring others is a plus.
  • Must reside within the state of Texas during the entirety of employment due to in person meetings & employee laws & regulations

Working Conditions

This is a coverage position that requires you to work a fixed and dependable shift Monday - Saturday. It requires the ability to sit/stand at a computer for extended periods of time. It requires the ability to interact with a diverse population by phone, or computer. This position may travel between team locations/offices for meetings, training, company retreats or other off-site events.
